What Happens at a Complimentary In-Home Care Assessment

Katie Stippec, Co-Owner and Operator, Here at Home Healthcare · October 21, 2026

Every home care agency offers an assessment, and almost none of them explain what it actually is. So families picture something between a sales visit and an inspection, and put it off. That is a shame, because a good assessment is the single most useful hour in the whole process, and it costs nothing.

Here is exactly what happens at ours, so you know what to expect from any agency worth considering.

Who shows up, and for how long

At Here at Home, the assessment is done by an experienced member of our care team, in your parent's home, and takes about an hour. It is complimentary, and it comes with no obligation. You do not sign anything that day unless you want to.

Having the assessment done by someone with care experience matters. They are not there to sell hours. They are there to understand health, routines, and goals well enough to build a care plan that fits, and to notice things a salesperson would not.

What the hour actually covers

The conversation moves through four things, usually in this order:

The story. What changed, when, and what the family has been doing to cover it. This is where the notes you have been keeping earn their keep: the missed medications, the falls or near-falls, the meals that stopped happening.

The day. What a normal day looks like from waking to bed. When the hard parts happen, because they cluster. Mornings and evenings are usually where help is needed most, and knowing that shapes the schedule.

The home. A walk through the house with an eye for how your parent actually moves through it. Where the bathroom is relative to the bedroom, which rugs slide, how the stairs are lit, where a grab bar would change everything.

The goals. What your parent wants, said in their own words. Staying home is usually the headline, but underneath it are the specifics that make a care plan feel like theirs: keeping the garden going, getting to church, staying out of a facility. Care built around what someone wants gets accepted. Care built around what someone failed at gets resisted.

What to have ready

You do not need to prepare much, but three things make the hour more productive: a current list of medications, your written notes on what you have been seeing, and the family members who are part of this decision, on speakerphone if they cannot be there. Deciding with everyone in the room once beats re-explaining three times.

And bring your hard questions. What happens when a caregiver calls in sick. How caregiver matching works. What happens if it is not a fit. You are interviewing the agency as much as they are assessing your parent.

What you should know by the end

Walk out of any assessment, ours or anyone's, with three things nailed down:

  1. The plan. Which days, which hours, and what the caregiver will actually do during them.
  2. The exact rate. Not a range on a brochure. Your rate, for your plan, confirmed before you sign anything.
  3. The start date. How quickly care can begin, and what happens between now and then.

If an agency cannot give you all three, or wants a signature before they will, keep looking.

After the visit

At our agency, the care team reviews the assessment and we call you to walk through the recommended plan, the schedule, and your exact rate. Then the paperwork arrives by e-signature, we match caregivers to the plan, and care starts. Families are often surprised how quickly the whole thing moves once the assessment is done, and it can usually be scheduled within a few days of your first call.

If your family has been circling this decision, the assessment is the step that turns worry into a plan. Call us at 314-708-8716 to set one up, or to ask anything first. Office open Monday to Friday, 9 to 5. After hours, leave a message and we will call you back the next business day.
